QT Event Management - B&D

B&D Dealers Conference - Winter Wonderland Theme

TASK

The B&D brand is an Australian icon that reflects engineering ingenuity and innovation. With manufacturing plants across Australia as well as in New Zealand and Hong Kong, B&D is today recognised as the specialist in residential as well as industrial garage doors and shutters.

B&D approached QT Event Management in April 2011 and asked us to propose a theme for their B&D Dealers Awards dinner due to take place at the Millennium Hotel Ballroom on 24 July 2011.

They were expecting 130 people for the dinner and wanted a real ‘WOW’ theme for the evening.

TACTICS

QT Events met with the client and suggested a progressive Winter Wonderland theme. This theme was suggested due to the fact that the event was taking place in July and the Millennium Ballroom is the perfect blank canvas for a progressive theme.

The ‘progressive theme’ is QT Events’ signature style of theming and involves progressing the theme throughout the event so that guests are surrounded by a ‘living, breathing’ theme. With the Winter Wonderland we progressed the theme from day through to evening throughout the course of the Awards Dinner.

As progressive themes are based mainly on lighting and projections, we met with our A/V supplier to explain exactly what was required and then liaised with them throughout the following 2 months to ensure that this theme delivered exactly what had been promised. To compliment the lighting and projections we also brought in high quality props and centre pieces.

During this time we also kept in regular contact with the client and sent regular updates and images of the development of this theme.

On the day of the event we were onsite from early morning to coordinate and were present throughout the whole day and into the evening to ensure set up ran according to plan.

RESULT

As guests entered the venue they literally walked into a Winter Wonderland setting with large wall screens running the length of the Ballroom depicting the Remarkable Mountain Range.

Throughout the course of the Awards dinner the screens depicting the Remarkables began to change from afternoon clear blue sky to snow storm and then to sunset. Just as the awards finished the scenes progressed through to a starlit night time and as guests danced the night away images of the Southern Lights appeared above the Remarkables.

The evening ran without any problems and the theme was a huge success with our client commenting that ‘it was the most amazing setup, and all who attended said it was the best yet’. We also managed to get some great shots to showcase this amazing theme.
